The Services are designed for dental clinics, authorized clinic staff, and BioDent operational teams to manage denture and dental laboratory orders, payments, production, delivery, and feedback.
By registering for, accessing, or using the Services, you acknowledge that you have read and understood this Privacy Policy.
1. Information We Collect
We collect information necessary to operate a B2B order management platform for dental clinics and BioDent laboratory operations. The categories of information may include:
- Account and clinic information, such as clinic name, contact person, email address, phone number, clinic address, login credentials, and role within the organization.
- Professional and staff information for authorized users, including names, job titles, and contact details used for account administration and notifications.
- Order and case information submitted by clinics, including patient names, patient contact details where required for delivery or notifications, doctor specifications, prosthesis requirements, design notes, photos, scans, molds, and other clinical or operational attachments.
- Payment and billing information, including prepaid package purchases, credit balances, transaction history, invoices, payment method selections, and payment confirmation references for services such as KPay, MPU, bank transfer, upfront payment, and order-now-pay-later arrangements.
- Production and delivery information, including order status updates, task assignments, delivery routes, proof of delivery, cash-on-delivery collection records, and operational notes entered by BioDent staff.
- Feedback and communications, including clinic or patient feedback, ratings, support requests, SMS content, push notification delivery logs, and correspondence with our team.
- Technical and usage information, such as device type, operating system, app version, IP address, log files, crash reports, and activity within the Services for security, troubleshooting, and service improvement.
2. How We Use Information
- Create, authenticate, and manage user and clinic accounts.
- Receive, process, track, and fulfill laboratory orders and related services.
- Assign production, quality control, and delivery tasks to authorized BioDent staff.
- Process payments, maintain credit balances, generate invoices, and manage receivables.
- Send order updates, delivery notifications, payment reminders, and service alerts by push notification, email, SMS, or in-app messages.
- Collect feedback on product quality, fitting, delivery, and service experience.
- Provide customer support, resolve disputes, and respond to inquiries.
- Monitor platform security, prevent fraud or misuse, and enforce our Terms and Conditions.
- Analyze usage trends and improve the performance, reliability, and features of the Services.
- Comply with applicable legal obligations and respond to lawful requests.
3. Legal Basis for Processing
We process personal information where necessary to provide the Services, perform our contract with clinics and authorized users, comply with legal obligations, pursue legitimate business interests such as fraud prevention and service improvement, and, where required, based on your consent.
5. Patient Information Submitted by Clinics
Clinics may submit patient-related information when placing orders or requesting delivery notifications. Clinics are responsible for obtaining any consent or authorization required under applicable professional, healthcare, or privacy laws before submitting patient information to BioDent.
BioDent processes such information solely to fulfill the requested laboratory services, communicate order and delivery updates where applicable, and improve service quality through permitted feedback workflows.
6. Data Retention
We retain information for as long as necessary to provide the Services, maintain business and accounting records, resolve disputes, enforce agreements, and comply with legal requirements.
Order, payment, and invoice records may be retained for extended periods where required for audit, tax, or regulatory purposes. When information is no longer needed, we take reasonable steps to delete or anonymize it.
7. Data Security
We implement administrative, technical, and organizational measures designed to protect information against unauthorized access, loss, misuse, alteration, or disclosure. These measures may include access controls, encryption in transit, secure authentication, and role-based permissions.
No method of transmission or storage is completely secure. You are responsible for safeguarding your account credentials and notifying us promptly of any suspected unauthorized access.

- Access and update account and clinic profile information through the Services, where available.
- Request correction of inaccurate information by contacting us.
- Request deletion or restriction of certain information, subject to legal, contractual, and operational requirements.
- Opt out of non-essential marketing communications, while continuing to receive service-critical notifications related to orders, payments, and account activity.
- Withdraw consent where processing is based on consent, without affecting the lawfulness of processing before withdrawal.
9. Children's Privacy
The Services are intended for use by dental clinics and authorized business users. They are not directed to children under 16 for independent registration. If we learn that personal information has been collected in violation of this policy, we will take appropriate steps to delete it.
10. Third-Party Services
The Services may integrate with or link to third-party payment gateways, messaging providers, analytics tools, or other services. Those third parties process information under their own privacy policies. We encourage you to review the policies of any third-party services you choose to use.
